Individual Templates Metrics: Section

Discover how to interpret the Individual Templates report in Outbound. Measure the effectiveness of proactive messages sent by your team, analyze your conversion funnel and optimize your communication strategy. 🚀

📊 What is the Individual Templates Report?

Unlike mass or automated sends, this section within your Outbound reporting is designed to audit your team's manual effort. It evaluates the performance of WhatsApp Templates (Template Messages) that your agents send individually (one-to-one) from their inbox to initiate contact or resume conversations with customers.

🧩 Tab: General (Main Metrics)

This is the main view where you'll find the key indicators to measure your agents' productivity when using templates:

  • Total Contacts: Represents the number of unique people (phone numbers) to whom your agents sent a template during the selected period (by default, the last 30 days).

  • Successful Sends: Measures the number of templates that actually left the system and were delivered to the customer's device.

⚠️ Important clarification (vs. General Report): This number will always be higher than "Conversations Initiated" in the General Report. Why? If an agent sends a template to a customer who already had an open chat at that time, this report counts it as a "Successful Send" (+1), but the General Report doesn't consider it a new "Conversation Initiated" because the interaction already existed.

  • Assigned: Represents the number of conversations generated by these templates that were assigned to the agent for follow-up.

  • Sales: Accounts for conversations originated by these sends that ended with a "Sale" type classification.

  • Template sends per day: A bar chart showing the volume of templates sent by your team on a daily basis. (Note: The maximum visualization of this chart is 60 days).

📉 Conversion Funnel and Performance

  • Conversion Funnel: Visually represents how the customer progresses through the process (Attempts > Deliveries > Read > Responded > Assigned).

💡 Note about the funnel in 1-to-1 sends: You may notice that there are more conversations "Assigned" than "Read" or "Responded". This happens because in individual manual template sends, sometimes platforms (like Meta) don't return exact read or response confirmation, but Atom accurately records when that conversation landed in the agent's inbox.

  • Most used templates: A highly useful comparative table. It allows you to see which templates are your agents' favorites and evaluate their real effectiveness by comparing their send volume against their views, responses, assignments, and sales (shown in numbers and percentages).

  • Distribution and Summary of Classifications: Charts that detail how many times each closing reason was used (and what type it belongs to, e.g. Positive/Negative) in chats originated by these individual templates.

📥 Tab: Audit (Downloads)

This section shows you the raw list of all interactions generated by your agents' individual sends, including all fields mentioned in the report for detailed review.

📝 Display and export limits: The table within the platform will show you a maximum of 2,000 rows as a preview. However, when you click to download (in .csv, .xlsx, or .json format), the file will include your complete history of up to 1,000,000 records.

Empower your team with the right messages! 🚀

By auditing the Individual Templates section, you'll be able to discover which advisors are most proactive and which specific texts or templates generate the best response rates, allowing you to replicate those best practices across your entire customer service or sales department. ✅
