How does the Billing Metrics report work in Atom?

Discover how to interpret the Billing Metrics report in Atom. Learn to understand Meta's charges, project your monthly costs, and estimate your budget distribution across teams and campaigns. 🚀

❓ Frequently Asked Question or Initial Context

When reviewing WhatsApp operating costs, it is very common for administrators to ask themselves:

  • Why does the volume of conversations billed by Meta differ from Atom's operational reports?

  • Is it possible to view these costs divided exactly by group or by campaign?

  • How can I obtain reliable monthly projections for my budget?

This article will help you understand how Meta reads your conversations and what strategies to use to estimate your internal costs with precision.

🤓 Explanation: Why do the numbers differ?

The Billing Metrics report shows you conversations counted exclusively by Meta for billing purposes.

The main difference lies in how times are measured:

  • Atom operational reports: Depend on human management or the bot. A "conversation" lasts until a closing classification is applied (it does not have a fixed hour limit).

  • Meta billing: Works strictly with 24-hour windows. If a chat with a customer lasts 48 continuous hours, Atom could see it as one (1) single management, but Meta will bill you two (2) conversation windows.

This specific report allows you to:

  • See the unique contacts initiated in a period.

  • Check the actual number of conversations billed by Meta.

  • Estimate a monthly projection based on your average daily consumption.

  • View graphs of daily accumulation and traffic origin (Inbound vs. Outbound).

⚙️ Troubleshooting: Step by Step

⚠️ Requirement: To access this dashboard, it is essential to have Administrator permissions.

How to analyze your billing metrics?

  1. Enter the side menu: Reports > Billing Metrics.

  2. Select the desired date period and channel (WhatsApp line number).

  3. In the Metrics tab, you will be able to audit the main KPIs:

    • Unique contacts

    • Conversations billed

    • Estimated monthly projection

  4. In the Charts tab, you will be able to deepen visually into:

    • The daily accumulation of consumption.

    • The distribution by origin (whether the User initiated Inbound or the Company initiated Outbound).

    • The distribution estimation table by group.

✅ Possible solutions and advanced estimations

Since Meta charges for the use of the phone line (number) and does not provide an exact breakdown of which group or campaign spent what amount, you can use these estimation strategies in Atom:

📌 If you want to estimate costs by group (E.g. Sales vs. Support):

  1. Go to the section "Conversations distributed by group" within this same report.

  2. Take the participation percentage of each group (this % is calculated based on the volume of conversations closed by each team).

  3. Multiply that percentage by the total number of conversations billed that Meta stated.

Result: This approximation will give you a solid basis to prorate and distribute internally the end-of-month invoice.

📌 If you want to associate costs to Marketing campaigns:

  1. Go to Reports > Outbound > Detailed tab.

  2. Look for the section "Detailed general outbound summary" and filter by the closed month.

  3. Identify active campaigns and the volume of successful shipments they generated.

  4. With that volume of shipments (each template sending that initiates a window has a Meta cost), you can assign a portion of the budget to the teams responsible for that campaign.

📌 To audit daily volume by area:

  1. Go to General Report > Traffic Origin tab.

  2. Look for the section "Conversations Initiated by origin type" and filter by day.

  3. This will allow you to link daily consumption peaks with specific campaigns that were launched on that same day.

📝 Additional Notes

  • Traceability by group: As a reminder, Meta does not deliver invoices divided by groups or agents; it only delivers a consolidated total per phone number. The distribution by groups in Atom is a proportional calculation designed to help you with your internal administration.

  • Precision when exporting data: When downloading reports, avoid applying automatic Excel formats that round values. Percentages below 1% could display incorrectly as 0. It is recommended to export without format and use Excel/Google Sheets with custom decimal format.

  • Analysis at month-end: Perform your final billing audits once the month is closed. Data from Meta's servers consolidates progressively and could fluctuate if you analyze the current month.

Take control of your budget! 🚀

Understanding how Meta bills and using data cross-references in Atom will allow you to project your expenses with confidence, assign fair budgets to each department, and ensure that your WhatsApp investment is as profitable as possible. ✅
