How do I connect my WhatsApp Flow to my bot?

Description: Learn how to connect your WhatsApp Flow to a bot in Atom. Discover the step-by-step process to integrate interactive forms in your Flowbuilder, simplify data collection and download management reports in CSV or XLSX format. 🚀

🤖 How do I connect my WhatsApp Flow to my bot?

You already know what WhatsApp Flows are and how to create them on the platform. Now, we'll take the most important step: connecting them to your bot to make your management much faster and more efficient.

⚠️ IMPORTANT: To use your WhatsApp Flows, the receiving bot must be built mandatorily under the Flowbuilder mode.

For this article, let's imagine the following use case: You already have your customer service bot created and want to simplify data collection for a "Workshop Appointment" using the WhatsApp Flow you previously designed. Let's go step by step!

🛠️ Step-by-step integration guide

STEP 1: Bot Location Enter Atom and navigate in the left sidebar menu to Settings > Platform > Bots. Find the bot you want to modify in the list.

STEP 2: Access to editing To modify the structure, click on the three-dot menu (⋮) to the right of your bot's name and select Edit Flow.

STEP 3: Inserting the Flow in the Message

  1. Within Flowbuilder, navigate to the specific section of your bot where the customer requests the appointment (for example, the node where the bot asks "What procedure do you want to perform?").

  2. Double-click on the Message component to open its editing panel.

  3. In the buttons section of that message, select the option to add your WhatsApp Flow (which you should have already created and published in that same channel).

  4. And that's it! Connect the following branches according to your business logic. For example: if the customer completes the flow, send them a confirmation message; if they need additional help, redirect them to an advisor; or give them the option to end the conversation.

⚙️ Management and available actions

Once your flows are in production, you'll need to manage them. Remember that by going to Settings > Messaging > WhatsApp Flows, you'll have a control panel with the name, status, and update date of each form.

By clicking the three-dot button (⋮) in the Actions column, you'll be able to:

  • ✏️ Edit: Modify the structure or fields of your WhatsApp flow.

  • 📥 Download: Extract the information collected by that flow. You can export it in .XLSX (Excel) or .CSV format.

    • Note about CSV: The system allows you to choose between a formatted file (with quotes and line breaks for better readability) or raw/unformatted depending on your database requirements.

Make your bot even smarter! 🚀

Connecting a WhatsApp Flow to your main flow (Flowbuilder) allows you to collect structured data without forcing the customer to leave the chat or write long paragraphs. Simply configure it as an interactive button, define what happens after the user fills it out, and easily export your databases for the sales team. Make life easier for your customers and advisors! ✅
